The Challenge
Beaumont Hospital faced challenges with an inefficient filing system that impeded healthcare workers’ ability to access patient records promptly and effortlessly. As a result, staff resorted to maintaining paper records, which were stored off-site. Retrieving these files for returning patients or legal claims required a time-consuming process, involving physically obtaining the file from the archives and dispatching it via courier.
The Solution
Ergo’s Scan & Index Manager was employed to digitize and index documents within Microsoft SharePoint, greatly simplifying the process of searching for and retrieving information. The implementation was meticulously planned and risk-free, with Ergo initially constructing the system at their headquarters to replicate the Beaumont environment off-site before deploying it within the hospital.
This implementation of Ergo’s Scan and Index Manager system has resulted in tangible productivity enhancements and cost savings for Beaumont Hospital. Doctors, nurses, and administrators now have access to robust systems that allow them to retrieve files in approximately 10 seconds, a significant improvement compared to the previous system, which took around 30 minutes for the same task.
